Create a recurring Workpaper Agent task from Checklist

Set up a recurring scheduled agent from Checklist, roll forward an existing workbook, and track each month-end workbook task as Workpaper Agent runs on the configured schedule.

Workflow

Step 1

Open the sidebar

Use the product sidebar to move into the month-close Checklist area.

Start a new task from Checklist.

Use the Workpaper task type when the checklist item should create a Workpaper Agent workbook.

Name the task

Enter a recognizable recurring task name so preparers and reviewers can identify each monthly occurrence.

Choose Roll forward existing

Select Roll forward existing when each recurring run should reuse a prior Workpaper Agent workbook. Start fresh is for starting from an SOP in the SOP library.

Select the source workpaper

Open the source workpaper selector, search for the workbook to reuse, and select it as the roll-forward source.

Set the recurring schedule

Choose Monthly, open the date picker, and select the date and time when Workpaper Agent should run on a recurring basis.

Choose the task period

Select the month-close period where the first linked Checklist task should be created.

Add preparers

Search for and select the preparers who should receive reminders, upload input files, and respond when Workpaper Agent needs input.

Add reviewers

Search for and select the reviewers who should review the completed workbook after Workpaper Agent prepares it.

Create the task

Submit the form after the name, roll-forward source, recurring schedule, close period, preparers, and reviewers are correct.

Open the created task

After the task appears in Checklist, open it to review the linked workbook activity and task details.

Review the linked workbook

Confirm the linked workbook appears under Activity with Scheduled status before the configured run date and time.

Review the reminder email

When the scheduled run is within the next three calendar days, preparers may receive an email reminder when input files are still needed, subject to notification settings. Use View Task to return to the Checklist task.

Upload input files

Add the requested input files to the checklist task. Workpaper Agent uses the configured recurring run date and time to trigger the workbook, and accountants can open the workbook from the task when needed.

Resolve Input Needed

If input files are missing when the scheduled run starts, the linked workbook can move to Input Needed. Open the workbook in Workpaper Agent, add the missing file in the chat panel, then continue or rerun the workbook.

Review updated status

After Workpaper Agent receives the needed input and runs, review the workbook from Workpaper Agent and use its updated status as the workflow checkpoint.

Manage the scheduled agent

Use Workpaper Agent > Schedules to edit the recurring schedule or archive the scheduled agent when the recurring work is no longer needed.

Review delete vs archive

Deleting the Checklist task removes the linked workpaper only if that workpaper has not run yet. Workpapers that have already run remain available, and the scheduled agent continues until archived.

When to use this workflow

Use this workflow when an accountant needs a workpaper task to recur during month close and each occurrence should start from an existing Workpaper Agent workbook.

You can set up the scheduled agent directly from Checklist. After the schedule is saved, Workpaper Agent triggers the workbook at the configured date, time, frequency, and timezone on a recurring basis.

What the schedule creates

Creating the recurring workpaper task creates two connected records:

  • a Checklist task for the selected close period, where accountants track ownership, due date, attachments, comments, and review work
  • a scheduled Workpaper Agent run, where the workbook is created, rolled forward, and processed on the configured recurring cadence

After the schedule is saved, the system automatically adds each recurring task on the configured frequency. For monthly schedules, future month-end occurrences continue to follow the saved schedule until the scheduled agent is archived.

How accountants should use the checklist task

Preparers should use the checklist task as their action queue. Open the task, review the description, upload the input files requested by the scheduled workpaper, and use Open Workbook when they need to inspect or continue the workbook.

Reviewers should use the same task to confirm ownership, timing, comments, and the linked workbook status before approving or requesting changes. When the scheduled run is within the next three calendar days, preparers may receive an email reminder with a View Task button if input files are still missing, subject to notification settings.

What to verify before saving

Before creating the schedule, confirm the task name, roll-forward source workpaper, recurring frequency, first run date and time, timezone, close period, preparers, and reviewers. Those values determine when Workpaper Agent runs and where the linked Checklist task appears.

What status means

Checklist task status shows the close task's progress for the accountant:

  • Not Started means no one has started the checklist task yet.
  • In Progress means the task is being worked on or has moved into the linked workpaper flow.
  • Completed means the checklist task is done for that close period.

The linked workbook has its own Workpaper Agent status. Scheduled means the workbook is waiting for its configured run date and time. In Progress means Workpaper Agent is working. Input Needed means Workpaper Agent needs an attachment or response before it can continue. Later statuses, such as Ready for Review, Reviewed, Ready to Post, Posted, or Completed, show where the workbook is in the review and posting process.

For scheduled Workpaper Agent tasks, the workbook status is updated by Workpaper Agent as the workbook moves to the corresponding step. Accountants should watch that status in the task activity and in Workpaper Agent instead of manually guessing where the workbook is in the process.

Delete vs archive

Deleting a Checklist task does not pause, archive, or remove the scheduled agent, so the schedule can still create the next month-end occurrence. If the linked workpaper has not run yet, deleting the Checklist task also removes that linked workpaper. Workpapers that have already run remain available.

Use Archive from Workpaper Agent > Schedules when the recurring scheduled agent should fully stop creating future month-end work.

What happens next

After the schedule is created, Truewind adds the linked checklist task and shows the linked workbook under Activity with Scheduled status. When the configured run date and time arrives, Workpaper Agent starts the workbook. If required input files are missing, the workbook moves to Input Needed; after the accountant provides the missing input, Workpaper Agent can continue and update the workbook to the next status.

You can manage the scheduled agent from Workpaper Agent > Schedules by editing the schedule or archiving it when the recurring work is no longer needed.

FAQ

Can I create the scheduled agent from Checklist?

Yes. Use Add Task > Workpaper in Checklist to create the recurring checklist task and the scheduled Workpaper Agent run at the same time.

When does Workpaper Agent run the recurring task?

Workpaper Agent runs on the date, time, frequency, and timezone configured in the schedule. For a monthly recurring task, each future month-end occurrence follows that configured cadence.

Why use Roll forward existing?

Use Roll forward existing when the monthly task should reuse a prior workpaper structure, instructions, and workbook setup instead of starting from an SOP in the SOP library.

What does Truewind create after I submit the schedule?

Truewind saves the scheduled agent and creates a linked checklist task. The system then automatically adds each recurring task on the configured frequency.

What does Scheduled mean on the linked workbook?

Scheduled means the workbook has been created for a future scheduled run, but Workpaper Agent has not started processing it yet.

What should an accountant do when the workbook status is Input Needed?

Open the task or workbook, upload the missing input files or respond with the requested input, then rerun or continue the workbook from Workpaper Agent.

Does deleting the checklist workbook task stop the scheduled agent?

No. Deleting the task does not stop the scheduled agent. If the linked workpaper has not run yet, deleting the Checklist task also removes that linked workpaper. Workpapers that have already run remain available, and future month-end runs stay scheduled until you archive the scheduled agent.

Limitations

The first run must be in the future

Truewind requires the scheduled run date and time to be later than the current local time.

Roll forward requires a source workpaper

Select an existing Workpaper Agent run before saving the schedule. Use Start fresh instead when you want to start from an SOP in the SOP library.

Delete is period-specific

Deleting a Checklist task applies to that selected task. It removes the linked workpaper only when the workpaper has not run yet. Archive the scheduled agent when the recurring work should stop for future month-end periods.

Troubleshooting

I cannot find the source workpaper.

Confirm you are in the correct client organization and that the source workpaper exists in Workpaper Agent before creating the schedule.

The linked checklist task is not in the expected period.

Reopen the task setup and confirm the checklist task period is set to the intended close period before saving.

The schedule form will not save.

Check that the first run time is in the future, Monthly is selected, and the roll-forward source workpaper has been chosen.

The scheduled workbook is stuck at Input Needed.

Open the linked task or workbook, add the requested attachment or response, then continue or rerun the workbook so Workpaper Agent can move it to the next status.

The task appears again in a later month after I deleted it.

Archive the scheduled agent from Workpaper Agent > Schedules. Deleting one Checklist task does not stop future scheduled runs.
